US Sales Tax Registrations

The link is to a secure form where you will enter all the information we need to register you. The form is hosted on a third-party secure website and all data is encrypted.  The form is a mix of all the different state forms so you will only fill it out once and we can use that information to register you everywhere without having to pester you for additional information for each state.  The form is a semi-smart form that will walk you through those sections where we must have the information based on your previous answers and skipping those sections we do not need. We will keep your information on file so you can add states in the future as you need without having to complete the form again.

Our fee to register US entities with US ownership are based on the number of registrations required. Please see the following tiers for the fee per registration: 1-5 states $149, 6-19 states $124, 20 -29 states $109, 30 plus states is $99.

We strongly suggest online set-ups described below, but they are no longer required, unless we are doing your sales tax returns. However, whoever is doing your returns will require you have these accounts set up. Foreign Entities or US Entities where the responsible party can not provide a social security number create more of a challenge as the applicant will not have the information the states require to use their automated systems. We generally have to shepherd these registrations through the process.  This can increase turn times by 1-2 weeks. Our fee for these registrations are the base fees listed for US entities plus $50 per registration.

We require an EIN/FEIN for all registrations. If you do not have one, we can procure one for you for $199. This does not substitute as a social security number.

 

Turn Around Time

Our current turn time to submit your registration applications to the state is 4 - 7 business days measured from the time you provide all the information we need and the registrations are paid for. The state response times average 2-4 weeks. If you need your registrations submitted withing 24 hours please add $50 to the fee per state.

 

 
 

Canadian Sales Tax Registrations

The link is to a secure form where you will enter all the information we need to register you. The form is hosted on a third-party secure website and all data is encrypted.  The form is a mix of all the different provincial forms so you will only fill this out once and we can use that information to register you everywhere without having to pester you for additional information for each province.  The form is a semi-smart form that will walk you through those sections where we must have the information based on your previous answers and skipping those sections we do not need. We will keep your information on file so you can add provinces in the future as you need without having to complete the form again.

Our fee for these registrations are $250 per registration. 

 

Turn Around Time

Normal turn times for Canada to respond to a GST/HST application range from 1-4 months. In Canada you will not want to wait to be approved before you start collecting. Turn times for the provinces are generally much quicker.


Online Sales Tax Filing & Remittance Account Setup and Filing Information Spreadsheet Creation


Once you are registered the state will send you information in one or more pieces of mail. In this information will be your sales tax approval and other information including letter numbers, codes, pins etc that will be required to go back out online and either set up an online account and or connect your tax account to an online account. This is something that is mandatory in some states and optional in others. However, most tax preparers and the software companies will require that you do this. While you can do this on your own, we have a service that will do this for you.

As part of the service, we will scour all the information in all of the documents the states send you. We will create the online accounts, connect the tax accounts and then create a spreadsheet with all the usernames, passwords and special pins. The spreadsheets will also contain the state filing website address, the sales tax number, the filing frequency, the effective date, the date the first return is due, the name of the tax registered for, the aka of the sales tax number, any other state numbers, and any other taxes you are registered for.

We strongly suggest you use this service. History tells us that roughly 95% of clients who don’t request this service upfront ask us do it afterwards. However there is much more work required after the fact and our fees will be more than double.

Our fees for this service when ordered in conjunction with the registrations are per registration based on a tiered grouping of registrations.

1-5 states $60 per state, 6 -19 states $50 per state, 20-29 states $40 per state, 30 plus states $30 per state
